Donor Relations and Event Coordinator

Description:
        Peabody Essex Museum has an immediate opening for an entry level coordinator within the Development Department. Reporting to the Director of Donor Relations and Events, the Donor Relations and Events Coordinator provides general administrative and onsite support for various development events as well as donor relations activities throughout the department. In addition, they provide onsite and virtual event support for all development events. These events help achieve annual stewardship & fundraising objectives.
        The coordinator prepares, submits and monitors all event and development communication requests to the Creative Services department and Contract Designer including drafting invitation and communication copy, scheduling of send dates and maintaining the communications calendar. The coordinator also maintains the social media calendar and event list tracker and facilitate hardcopy and digital invitation mailings. In addition, they build event pages and draft web copy for events. The position coordinates onsite registration at events and associated collateral and follow-up activities such as updating post event attendance in the Tessitura database and event tracking documents. This role also coordinates the scheduling and logistics around curator-led tours for development, submits photography requests for development events, confirms photography request lists, and circulates photo stewardship to the development team.
        In addition, the coordinator assists with scheduling appointments and meetings on Google calendar and Zoom, organizing and filing documents and travel planning along with information gathering/dissemination, assists with invoicing, budget tracking and expense reporting. The coordinator plays a key role in the execution of the PEM Gala and PEM Gala Committee meetings (annual museum fundraiser). Evening and weekend work is required during special events (virtual and in-person). The right candidate maintains the confidentiality of all institutional and personnel matters and coordinates and maintains the master calendars of events for the team. They also work on special nonrecurring and ongoing projects, and other duties as assigned.
Qualifications:
        The ideal candidate will have a Bachelor’s Degree and one or more years of experience or training, or the equivalent combination of education and experience. Excellent attention to detail, outstanding oral and written communication skills and proven problem-solving and planning capabilities are desired. A background in development, art history and art museum experience, as well as a passion for the world of art, creativity, art history and our rich cultural history are desirable. We are seeking a mature level of judgment and decision-making in a changing, forward-thinking operating and visitor focused environment. The ideal candidate has a high degree of patience, good humor and fortitude in managing relationships with various parties, including other departments, donors and external partners. A demonstrated ability to forge mutually-respectful and effective relationships with a diverse group of personalities is a plus, as is experience in MS Office suite, Google Docs, Zoom Meetings and Zoom Webinar, knowledge of Tessitura or similar database program.
