Creative Coordinator

Description:

Reporting to the Director of Creative and Interactive Media, the Creative Coordinator will provide diversified administrative, project coordination, and creative support to the department. The Creative department collaborates with colleagues in communications, membership, education, curatorial, IT, exhibition design, and development to produce engaging print, digital, and multimedia materials.


Essential functions include:

50% - Project coordination

  • intake and process print, editorial, web, and media project requests
  • compile materials for print, web, and media, following up with clients and preparing for production
  • create and distribute production schedules accounting for project complexity and scope, resources, workload, and design and production time
  • create and organize projects in Basecamp (project management software)
  • manage outsourced projects
  • schedule and organize meetings and prepare relevant meeting materials, follow up with notes and production plans
  • act as administrator for the Museum’s Basecamp (project management software) account
  • maintain print and digital archive of projects


20% - Administrative

  • generate and maintain financial reports to track project and operational expenses and process invoices in an accurate and timely manner
  • serve as the administrative point person for the department and follow up on routine inquires for information and materials
  • schedule meetings and maintain the calendar for the Director of Creative and Interactive Media; schedule and organize internal team meetings and prepare relevant meeting materials


20% - Photo management

  • maintain archive of photographic assets for the department
  • manage photo and video processes for the department working with internal and external photographers and coordinating with other departments for photographic needs
  • photographic research and ordering for print and digital projects


10% - Production design and content maintenance

  • support the production of print collateral, web pages, video, and MFA Mobile (visitor smartphone app)
  • perform a variety of content maintenance tasks for mfa.org, the Museum’s main website

Qualifications:

  • Bachelor’s degree, along with two to three years of experience in a fast-paced working environment
  • superb organizational and follow-through skills; the ability to juggle multiple priorities while maintaining accuracy and high standards
  • excellent writing and verbal skills
  • strong interpersonal skills and the ability to work with internal and external contacts at all levels
  • must be at ease performing quantitative tasks, including tracking budget and departmental expenditures
  • proficiency with Microsoft Office software; familiarity with Adobe Creative Suite and Drupal CMS desirable; familiarity with collections database software (TMS or similar) desirable; familiarity with project management software like Basecamp and Trello; must have a working knowledge of design and photography and production processes for print and digital
