Marketing Coordinator


Title: Marketing Coordinator

Type: Full Time, Non-exempt

Reports To: Senior Marketing Manager

Direct Reports: None

Purpose: As a pivotal member of the Marketing Team, this position is responsible for the timely and effective coordination of all projects, day-to-day operations and communication with internal and external stakeholders to ensure that all communication is accurate, on time, and on budget.


  • Provide coordination with marketing team for the creation, production and distribution of all creative projects including but not limited to effective management of design requests, schedule, copy development, quotes, vendor coordination and budget oversight. Provide communication to creative team on the vision and needs for project.
  • Ensure proper use of brand standards for all WAM published materials
  • Facilitate the production and placement of all planned advertising interacting with print, digital and broadcast advertising vendors.
  • Serve as department office coordinator; ordering of supplies, maintaining files, processing invoices and ensuring the timely flow of communication between members of the team.
  • Coordinate, write, edit and distribute WAM’s eblast communications
  • Maintain departmental email lists and coordinate with other departments to ensure accurate and updated lists for Constant Contact communication
  • Maintain calendar, exhibition and program information on website.
  • Maintain up-to-date contact lists for media, prepare background materials as needed and provide support for media site visits
  • Handle image licensing needs and maintain digital image files for department
  • Perform other related duties as assigned


  • Outstanding organizational skills and ability to multi-task with in a fast paced environment
  • Proven project coordination experience
  • Strong written and verbal communication skills. The ability to communicate clearly and with enthusiasm to effectively bring people together to generate quality outcomes.
  • Agile and flexible, yet detail oriented and accurate.
  • Passion for the arts and cultural marketing and communications practices
  • Proficient with CRM data management systems, Constant Contact, Photoshop.
  • Ability to contribute creative ideas and problem solving
  • Self-starter able to work effectively with little supervision as well as a part of a team
  • Embraces and promotes DEI initiatives


Two years of experience in a directly related field


BA in related field preferred or equivalent work experience
