Donor Relations and Data Coordinator

Description:

SUMMARY:

Reporting to the Assistant Director of Development Data Operations, the Donor Relations and Data Coordinator works in close collaboration with colleagues in the Development and Alumni Relations department and across the school to ensure the timely acknowledgment of philanthropic support to the GSD. Oversees the accuracy of gift processing and donor recognition. Works closely with the Assistant Director to ensure the accurate recording and maintenance of data as it relates to donor relations and development data operations.


TYPICAL DUTIES AND RESPONSIBILITIES:

Donor Relations

· Oversees the timely drafting and production of acknowledgment letters to recognize all gifts to the GSD. Partners with Assistant Director of Stewardship on drafting acknowledgments for the Dean and Associate Dean of Development. Generates gift reports, reviews gift information, facilitates fundraiser review and personalization, and proofreads content. Provides direction and collaborates with the Communications team on the yearly refresh of acknowledgment messaging. Strategically evaluates the program regularly and implements changes and enhancements as needed to manage yearly volume in excess of 1,000 touchpoints.

· Contributes to the annual Giving Report by compiling, editing, and proofing donor honor rolls. Manages the compiling of ad-hoc recognition data and ensures accuracy of donor listings in various formats.

· Regularly pulls and audits data to recognize loyal donors and donors reaching milestone giving.

· Serves as the liaison for the University Development Office financial endowment reporting process. Ensures that the GSD accurately represented in the University’s Report of Giving.

· Manages the timely processing of gifts and accurate administration of gift documentation, including processing of gift modifications, updating pledge payment schedules, and writing off existing pledges when necessary.

· Oversees the pledge reminder process, including drafting of language, collaboration with frontline officers, and tracking of pledge payment schedules.

  • Provides efficient and accurate customer service to internal staff members and external clients, such as donors, alumni, and other departments within the GSD who are inquiring about giving.

· Participates in and/or supports departmental and school-wide activities and events as needed.


Development Data Operations

· Ensures accurate recording and maintenance of stewardship activity in the donor database, including monitoring the linking of proposal and receipt data.

· Participates in the DevAR Data Management Group and serves on school-wide and university-wide committees when applicable.

  • Regularly updates prospect and proposal changes in coordination with the Assistant Director.

· Pulls routine and ad-hoc reports as requested.


SUPERVISORY RESPONSIBILITIES:

There are no supervisory responsibilities associated with this position.


PHYSICAL DEMANDS:


• Position involves frequent use of computer keyboard and mouse.

Qualifications:

BASIC QUALIFICATIONS:

· Bachelor’s degree preferred.

· 3+ years’ experience in donor relations, development data management, or other aspects of development preferred, ideally within an academic institution.

· Exceptional writing and proofreading skills are required.

· Microsoft Office and solid computer skills in a PC environment with the capability to master new software applications and technologies in database management. Strong knowledge of Excel and Word are required for extensive mail merges.


ADDITIONAL QUALIFICATIONS:

· Must be highly organized, strong attention to detail, conscientious, and efficient, with an ability to handle multiple tasks accurately under deadline pressure.

· Ability to anticipate, take initiative, and resolve problems to effectively fulfill responsibilities.

· Ability to work independently and flexibly.

· Comfortable using extreme discretion when working with highly confidential information.

· Ability to locate and interpret biographic, donation, and financial information with the University’s alumni and development database, as well as strong experience with internet researching.

· Effective in working with wide audiences including the highest level of GSD constituents.

· Experience with SharePoint, Salesforce Email Marketing Cloud is helpful.
