Position Overview

  • TheManager of Private Events is responsible for well-received rental and THBG-sponsored events on behalf of the organization. The Manager is responsible for meeting annual net revenue budget goals. The Manager must be able to work flexible shifts and schedules, including occasional nights, weekends and holidays.

Responsibilities

· Manage event planning functions and staff.

· Hire new Wedding Coordinator who will be responsible for managing booked 2021 weddings and working with clients who want to book dates for 2022 and 2023.

· Develop a staffing strategy to manage social and corporate clients in the short-term and monitor sales for a longer-term strategy.

· Develop and manage an annual budget for the department.

· Responsible for AP/AR for the department.

· Work with interdepartmental teams to plan and manage Tower Hill events, such as, development-sponsored events, and internal meetings and trainings.

· Develop business relationships to provide value to Tower Hill and rental clients, maximizing efficiency and sales opportunity by leveraging available resources.

· Create andimplement departmental policies and procedures.

· Function as the main point of contact for internal and high-profile external clients.

· Responsible for audiovisual equipment inventory, maintenance and replacement.

· Manages software used to support rental functions, including Tripleseat and Placez.

· Together with the Marketing and Communications staff, create marketing material for weddings, meetings, and social events.

· Together with the CFOO and Facilities Manager, develops departmental and property emergency procedures and ensures Events staff are trained in safety procedures.

· Works with direct reports to review scheduled events and troubleshoot potential challenges/conflicts.

· Leads discussions to review event complexity and proactively avoid service challenges and failures.

· Ensures the organization is appraised of all bookings that will impact Garden operations.

Leadership and Interpersonal Relations

· Supervises, trains, and evaluates full and part-time staff including formal reviews and goals development with permanent staff.

· Promotes intra-organizational cooperation to benefit the Garden and to promote its mission.

· Leads Private Event Management meetings.

· Displays leadership in guest hospitality, exemplifies excellent customer service, and creates a positive atmosphere for guest relations.

· Responds to and handles guest problems and complaints in connection with space rentals.

· Empowers employees to provide excellent customer service and works to provide the resources to support this.

Schedule

The Manager of Events position is salaried and exempt from overtime. The standard work schedule for this position is Monday-Friday. However, the schedule may be flexible to suit the needs of the organization and may at times involve weekend or evening hours.

Qualifications:

Education andExperience

· Minimum 5 years professional event management.

· Bachelor’s Degree in Business or Hospitality-related field.

· 2-3 years of catering, event sales, or day-of coordination experience.

Required Skills

· Excellent written and verbal communication.

• Familiarity with mission.

• Demonstrated exceptional customer service skills.

• Experience in all areas of event service.

• Demonstrated ability with computers, including MS Office suite products, diagramming software, and event management software.

• Strong teamwork and interpersonal skills.

• Ability to be adaptable, dependable, and handle multiple priorities simultaneously.

PhysicalDemands/Working Conditions:

  • Must be able to bend, reach, and stand for a minimum of 8 hours per event.
  • Must be able to lift and transport a minimum of 25 pounds and work outdoors as required.

· Must be comfortable working in a temperature variant environment.

· Must be able to frequently navigate uneven grounds and stairs.
