Operation Manager


Job Description

Lexington Symphony is looking for an Operations Manager. This position reports to the Executive Director. The Operations Manager is responsible for ensuring that all orchestral events – rehearsals, performances, runouts, education and special events – run smoothly, effectively, efficiently and in a financially responsible manner. Responsibilities include event production and supervision, scheduling, planning, and administration.


· Production management and/or stage management for all performances

· Determine staging requirements and coordinate setup

· Equipment rental

· Equipment loading and transport

· Transport and setup of LS-owned electronic keyboard as needed (stored at concert venue, Cary Hall)

· Manage rental relationship with the Town of Lexington

· Work closely with and maintain good relationships with Cary Hall custodial staff

· Obtain applications and permits for Symphony related activities as required

· Arrange for piano rental and tunings as needed

· Arrange for police and fire detail as required

· Hiring and coordination of lighting, sound, catering, transportation services, and other vendors

· Anticipate and address audience and player needs

· Maintain positive relationships with subscribers and ticket buyers

· Manage and oversee all concert volunteers, cultivate volunteer resources

· Coordinate and manage concessions stand

· Gather and purchase necessary items for concert and event production

· Oversee setup and breakdown for special events


· Manage and maintain online ticketing system

· Manage box office for patrons, players, and soloists via email, phone, and regular mail, including subscription sales and renewals, comps, group and third party sales.

· Input and maintain data in Patron Manager (sales, donations, and notes)

· Work with program book coordinator to ensure that all ads, donor lists, bios, program notes, rosters, and sponsors are correct and updated

· Coordinate with marketing consultant to create marketing timelines and projects

· Create and send all Lexington Symphony concert and special events eblasts and newsletters

· Manage all social media accounts

· Update and maintain Lexington Symphony website as needed

· Manage regular expenses within budget and coordinate timely payment with Bookkeeper and Treasurer

· Procure required rental music in a timely manner and without incurring late or extra charges

· Answer phone for general inquiries, respond to messages

· Pick up mail from P.O. Box regularly; sort, distribute and process

· Provide administrative support to Executive Director as needed

· Ensure that office supplies and equipment are available and in good working order

· Facilitate preparation and mailing of fundraising appeals

· Send out donation acknowledgements and thank you letters in a timely manner

· Run reports as requested by the Executive Director, Music Director, and Board leadership

· Participate in strategy, production and Board meetings as requested by the Executive Director, President(s), and Music Director

· Make contingencies for inclement weather and, together with the Executive Director and Music Director, make decisions on the implementation of contingency plans

· Collaborate with Executive Director to arrange Guest Artist itinerary, lodging, travel, and hospitality

· Assist Executive Director, Bookkeeper, and Personnel Manager with vendor and labor contracts and necessary documentation (including W-9s)

· Interpret, implement, and uphold terms of the Players’ Policies and other collective bargaining agreements that are applicable with collaborative partners and/or venue agreements

· Maintain Lexington Symphony repertoire history records


· Orchestra experience or musical training is preferred

· Technical theatre training and experience is preferred

· Must be able to work independently in a fast-paced environment

· Prior experience with Patron Manager, Salesforce or similar program (Raiser's Edge, Tessitura) is preferred

· Strong skills with Microsoft Word, Excel, or similar programs

Job Type: 40 hours/week

Pay: $20.00 per hour or commensurate with specific experience
