Benefits Administrator

The Opportunity

Reporting to the Director of Human Resources and supporting over 300 year-round employees and over 500 seasonal employees at our properties across the Commonwealth, the Benefits Administrator is responsible for administering all employee benefit plans, educating employees on the programs available to them, and ensuring compliance with all relevant federal, state and local rules and regulations

In This Role You Will

  • Orient staff to benefits and ensure accurate and timely new participant enrollment for health, dental, vision, FSA, commuter benefits, life and disability, and supplemental benefits?

  • Answer benefits questions and?provide assistance?related to?benefits;?process qualifying events?

  • Set up 401k accounts for new employees?

  • Process 401k and 457b elections and track and activate eligibility for employer match; process deferral changes for payroll; process 457(b) manual payroll transmission?

  • Responsible for open enrollment setup, communication, implementation, and carrier file feeds?

  • Review monthly error reports from carrier feeds?

  • Approve benefit enrollments for payroll and enter payroll notes related to benefit deductions??

  • Reconcile, code and submit for payment all benefits-related invoices?

  • Ensure accuracy of Group Term Life tax setups for employees?

  • Administer COBRA through Paycom?

  • Process accident and injury claims and serve as liaison to Workers Comp Third Party Administrator?

  • Respond to Unemployment Benefit claims and process EMAC reconciliations?

  • Submit annual Massachusetts Health Insurance Responsibility Disclosure form?

  • Administer Leaves of Absences, navigating the intersections of FMLA,?Short and Long Term?Disability, Trustees paid time off, Massachusetts Paid Family and Medical Leave and Workers Comp (when applicable) and setting up accurate payroll payouts?

  • Ensure the accuracy and timely delivery of ACA/1095 documents and filings

  • Administer paid time off including setup, accruals, carry-over, and Sick Time Donation program?

  • Administer quarterly Green Light Award program, including announcements, selection recommendations, follow up correspondence, record-keeping?

  • Administer annual years-of-service recognition program, including service calculations and gifts?

  • Administer Day of Service program, including call for projects, approval of projects, and Day of Service sign-up site?

  • Develop employee perks?

  • Maintain benefits documents in HR files, on Paycom and on Trustees intranet, Canopy.?

  • Prepare and send annual required benefits notifications to employees (Summary Annual Reports and others)?

Qualifications:
  • A minimum of 2 years of benefits administration experience including administering insurance plans, flexible spending accounts, commuter benefit plans, COBRA, open enrollment, leaves of absence, disability plans, worker’s compensation, and retirement plans.

  • Working knowledge of employee benefits and applicable laws such as COBRA, FMLA, ADA, HIPAA, ERISA, OSHA, IRS regulations and benefits-related national and state specific laws

  • High level of professionalism, tact, discretion and diplomacy required for dealing with personnel at all levels of the organization; ability to maintain confidentiality

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with payroll and HRIS systems (Paycom experience a plus)

  • Strong customer service skills along with strong written and oral communication skills

  • High aptitude for detail with commitment to accuracy and follow-through

  • Ability to manage multiple priorities and meet deadlines; strong organizational and prioritization skills

  • Strong customer service skills

  • Non-profit experience is a plus

This position requires occasional evening and weekend work as job duties demand. Travel to other Trustees’ work sites in Massachusetts is occasionally required.


Compensation and Benefits:
