Marketing and Community Relations Coordinator


The EcoTarium, A Museum of Science & Nature seeks qualified to work as a Coordinator in Marketing and Community Relations. The Marketing and Community Relations Coordinator is responsible for maintaining the EcoTarium’s online presence as well as the coordination and implementation of community-related outreach and events. Working with the Manager of Marketing and Communications, the Marketing and Community Relations Coordinator assists in increasing the visibility and stature of the EcoTarium while supporting long-range attendance and revenue goals through frequent, targeted community outreach (both in-person and online). In addition, this position is responsible for planning, implementing, and evaluating community events and promotional activities to further help promote the museums offerings and drive attendance. This position has regular interaction with all departments in the museum.

Responsibilities – Marketing
  • Manage social media content and promotions while communicating the EcoTarium’s unique voice; focus on Facebook (daily) and moderate comments to organization’s page; update Pinterest, Instagram, and You Tube as needed
  • Stay abreast of new social media trends and adapt strategy as needed to maximize impact and ROI
  • Serve as primary content editor for the EcoTarium website; Create online ticket and registration forms as needed
  • Maintain and update online calendar listings to maximize daily museum attendance (Social Web and many others)
  • Research and audit the EcoTarium’s web presence and actively follow up with other organizations when listings are incomplete or outdated
  • Respond to requests by media and bloggers for photos and information
  • Monitor the Marketing Department general email account
  • Maintain, organize, and grow the Marketing Department photo and video library
  • Host onsite media events for family bloggers and other online media, to encourage promotion of new exhibits and happenings
  • Respond to requests to participate in coupon or discount marketing programs; maintain coupon/discount master list and work closely with Visitor Services staff to ensure proper execution and communication of discounts
  • Handle requests for brochures and build relationships with interested partner organizations; make sure all relevant organizations are resupplied with rack cards through frequent communication (includes libraries, Worcester City Hall and others)
  • Maintain inventory of printed materials (including rack cards, brochures, stationery, envelopes, passes)
  • Write and coordinate monthly newsletters, bi-annual educator newsletters, and eblasts
  • Maintain email distribution lists via Constant Contact
  • Assist Manager of Marketing and Communications in other marketing and public relations projects as assigned

Responsibilities – Community Outreach, Special Events, Promotional Activities

  • Represent the EcoTarium during community events (both off-site and on-site at the museum)
  • Vet and respond to requests to participate in external outreach events that reach target audiences
  • Identify need for additional staff and whether educational activities are required at community events; work with the Coordinator of Volunteer Resources, as well as the Education, Exhibits, and Wildlife departments (as needed) to solicit staffing as part of vetting process
  • For selected outreach events, this position will provide staff coverage, coordinate and bring booth/table top materials, including table cloth, banner(s), signs, brochures, giveaways and raffle; when staffing allows, oversee easy activity such as KEVA or tattoos
  • Work alongside the EcoTarium’s Coordinator of Volunteer Resources to co-manage a volunteer Street Team
  • Engage staff, volunteers, vendors and outside groups in planning, developing, implementing, and evaluating all on-site special events
  • Manage event components, including entertainment, programming, vendors, sponsors, scheduling, logistics, pricing, ticket sales, decorations, event-specific signage, and marketing plan in conjunction with other staff; Be the point-person during on-site special event days
  • Facilitate relationships with outside groups and in-kind sponsors; includes sourcing, soliciting, coordinating, and thanking in-kind support for events
  • Take a leadership role in the creative process to design new special events with aggressive attendance and revenue goals
  • Provide writing and website landing page design support for major events and activities at the museum as well as exhibit openings and other special events

Non-Essential Functions:

  • Serve on staff ad-hoc committees
  • Other duties as assigned

  • Bachelor’s Degree(in English/Communications, Public Relations, Marketing, Arts Management, Nonprofit Management, or related field preferred)
  • Museum and/or fundraising experience preferred
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and ability to work with others
  • Comfort with performance and/or public speaking, a flair for public presentation
  • The ability to work well independently while collaborating with others on meeting common goals
  • Extensive knowledge of MS Office, website content management programs and email marketing programs
  • Comfortable working in Constant Contact
  • Familiarity with Altru, Raiser’s Edge, or similar constituent database preferred
  • Ability to work evenings and weekends
  • Experience generating social media content and social community management
  • Be in good physical condition to meet the physical demands of the position. Ability to move outreach and special event equipment/supplies up to 50 lbs, climb a 6 foot ladder, lift and reach overhead
  • Pass CORI background checks according to EcoTarium’s guidelines
