Administrative Assistant

Description:

Reporting to the Director of Development and Operations, the Administrative Assistant aids in the daily operations of Shelter Music Boston to support the organization’s mission. Responsibilities include:


Program Delivery

  • Research and craft monthly program notes and prepare concert programs using scheduled repertoire

  • Create/send promotional flyers and concert reminders to service partners each month

  • Transcribe and tabulate audience survey data each month

  • Coordinate concert volunteer program including scheduling monthly volunteers

  • Attend concerts as available


Operations

  • Enter data into and run reports from the organization’s database (currently Salesforce)

  • Format artist contracts from existing template

  • Curate information and create posts for SMB social media channels, including uploads to YouTube and SoundCloud

  • Contribute to SMB communications including content writing, simple graphic design, photo editing, and video design/editing

  • Update SMB website, including monthly concert calendar and repertoire listing


Development/Fundraising

  • Conduct prospect and foundation research

  • Assist with the Spring and Fall Fundraising Appeal process

  • Prepare logistics and materials for fundraising events

  • Attend fundraising events to assist with set-up, registration/ticket sales, and break down

  • Other tasks as needed

Qualifications:
  • A passion for social justice; an outgoing, personable, and articulate ambassador

  • Appreciation and recognition of the transformational power of live classical music

  • Completion of undergraduate studies preferred

  • Ability to work independently and remotely

  • Excellent verbal & written communication skills

  • Experience with simple graphic design, photo editing, and video design/editing

  • Efficient organizational skills

  • Experience with Google Suite, SalesForce, DonorPerfect, Weebly, Mailchimp, social media platforms preferred

  • Must be comfortable working with people of myriad circumstances, as he/she will interact directly with homeless shelter guests

Requirements

  • 5 hours per week for 48 weeks (specific schedule flexible based on workload)

  • Must own phone and personal computer; must have reliable internet access

  • Access to a car preferred or experience using multiple modes of public transportation
