Assistant is a primary interface with HSV vendors, visitors, members, donors, and
consumers and is responsible for providing efficient hospitality and service.
S/he creates and sustains relationship of the highest quality.
- Serve as the phone and office
receptionist; route calls; answer queries when possible; receive and help
when individuals arrive in person and need immediate attention
- Act as registrar for enrolling and
tracking participants in the museum’s fee-based and patron events,
including but not limited to CSA, Country Fair, Quilt Marketplace,
Suppers, Seminar, Peer to Peer, Workshops, and Premium Tours
- Manage membership enrollment,
renewals, acknowledgements, and handling member requests and questions
and maintain Raiser’s Edge database functions, including but not limited to
gift processing and acknowledgement, maintaining donor and constituent records,
entering notes and actions
lists for appeals, mailings and other projects as necessary for the department
- Prepare progress and reconciliation reports
and statistical analysis
- Provide Finance Department with requested
information on donors, gifts, grants, etc, in preparation for the audit
and other reporting
and manage on-site membership sales
the Development department annual calendar
- General record-keeping, data entry, word processing and
- Makes copies, completes general
filing and word processing tasks.
- Coordinates and completes mailings
- Types, edits and proofreads a variety
of reports, lists, and correspondence.
- Assists with special events including
but not limited to Baby Animals on the Shaker Farm, Country Fair, Suppers and the Gala
the President & CEO with drafting and sending correspondence, special
projects, and other tasks as assigned
- Maintains databases of contacts, members,
vendors and prospects.
- Other related duties as assigned.
Requirements: High school diploma (college degree
preferred) and 1-2 years of database experience; accurate typing and good
writing skills; customer service (in person, phone, email), database
management, and problem solving experience; demonstrated ease, competence and
evidence of fast learning with computers and Internet, including with Microsoft
Office and Altru database. Ability to multi-task and juggle multiple projects
and deadlines simultaneously. A team
player but able to work independently and set appropriate deadlines for
themselves, always keeping institutional priorities in mind.
