Position Summary

Based in ACG’s Boston office and reporting to the Marketing & Communications Manager, the Marketing & Communications Assistant will be a highly organized and effective team member who will provide operational and administrative support for all aspects of ACG’s marketing, including messaging, advertising, external communication, and brand standards. This individual will assist in all marketing and communication efforts, specifically those involving national and international conference preparation, business development research, and the creation and editing of email campaigns, newsletters, publications, website content, and other materials.


Traits and Characteristics

The successful Marketing & Communications Assistant will be a motivated self-starter with the ability to prioritize tasks, maintain and develop routinized systems for content production, support brand identity, and ensure timely delivery of written materials. Highly organized and detail-oriented, this individual will have excellent writing and editing skills as well as basic design capabilities and associated artistic sensibility. The Marketing & Communications Assistant will be agile using both existing and new technologies and software systems. A flexible and adaptable team player, this individual will demonstrate reliability and personal accountability, strong interpersonal skills working in a distributed workforce model, and will be motivated by data analysis and the aesthetic expression of words and images that reflect the core values of an organization and its dynamic team.


Roles and Responsibilities

Marketing and Communication

  • Assist the Marketing & Communications Manager in maintaining the communication calendar and inventory of marketing materials.
  • Update and maintain the ACG website, working with the Marketing & Communications Manager to keep the content accurate, current, consistent, relevant, and vibrant.
  • Assist in the production of ACG marketing materials and the distribution of all email marketing campaigns via Constant Contact.
  • Collect all contact information from client projects, conferences, and other databases and format them for inclusion into Constant Contact in a timely manner.
  • Maintain and update various internal Constant Contact reports.
  • Send click-through reports for all job opportunity emails on a timely basis.
  • Oversee ACG’s social media channels, create monthly content calendar, regularly post up-to-date content, and track monthly statistics.
  • Research various industry job posting sites, compile a list of viable business leads, send introduction pitch emails, and share any noteworthy competitive analysis with the ACG team on a weekly basis.
  • Update national and international conference information and communicate key deadlines to ACG team members monthly.
  • Update and maintain ACG client lists, spreadsheets, and logos quarterly. Assist with compiling custom client lists for proposals as required.
  • Develop and update media press list and distribute press releases to the appropriate media sources.
  • Set up and regularly review Google alerts to share with team members as appropriate.
  • Embrace other marketing and communications responsibilities as needed.


Administrative and Operational Support

  • Oversee ACG’s general email inbox and reply or forward messages to ACG team members accordingly.
  • Ensure team members complete conference request forms in a timely manner and prepare and ship materials for conferences, clients, team members, and sponsorships.
  • Create ACG all-team weekly Skype meetings and update attendees as needed.
  • Participate in weekly marketing meeting and all-team meeting.
  • Manage and update ACG’s Staff Directory.
  • Handle all Boston office packages, mail, and mail forwarding.
  • Provide additional administrative support to the marketing team and others as needed.
  • Embrace other administrative and operational support responsibilities as needed.

Qualifications:

Applicants must have a bachelor’s degree in business, marketing, or a related field and a minimum of two years of work experience in an administrative and/or marketing and communications role.The successful Marketing & Communications Assistant will be a motivated self-starter with the ability to work in a fast-paced environment, prioritize multiple tasks, meet deadlines, and maintain routinized systems in a distributed workforce model. The ideal candidate will be a highly organized and detail-oriented individual with excellent writing and editing skills. Technologically savvy, the Marketing & Communications Assistant will adapt easily to new technologies and software systems. A high level of proficiency in Microsoft Office is required. Familiarity with Office 365, Adobe Creative Suite, Constant Contact, and/or WordPress is desired. Preference will be given to candidates with a background in or passion for the arts. Candidates must be willing and able to commute to ACG’s South Boston office, which is conveniently located just a few blocks from South Station.
