School Communications Administrator

As an integral part of the Boston Ballet School team, theSchool Communications Administrator supports all aspects of customer service, retention, and recruiting across all education programming. The School Communications Administrator is a full-time, non-exempt position. Boston Ballet serves a diverse and inclusive population across a variety of locations (Schools in Boston, Newton and the North Shore town of Marblehead, and partnerships with Boston Public Schools). The School Marketing team communicates to 5,000+ students in the Children’s, Classical Ballet, Adult Dance, Adaptive Dance and Pre-Professional Programs each year.

He/she will beresponsible for supporting the creation and execution of marketing campaigns to meet enrollment and revenue goals. Campaigns include retention and acquisition activities across all media channels to promote the School’s core programs and special initiatives. She/he helps execute direct mail, website, print and digital advertising, special events and customer communications.

TheSchool Communications Administrator must be highly organized, coordinate a high volume of communications andfoster positive relations with BBS parents and students by providing exceptional customer service. This position works closely with the BBS Operations, Student Services and Education & Community Initiatives teams.


RESPONSIBILITIES INCLUDE:

Communications and Customer Service

  • Assists with education related customer communications across a variety of platforms including in-person, phone and email for a wide audience range in conjunction with Marketing team
  • Fosters positive relationships with existing and prospective families across all programs
  • Supports a high volume of special events such as Open Houses, Spring Showcase, and Parent Seminars as requested on nights and weekends

Retention & Acquisition Campaigns

  • Assists with the creation,deployment, and processing of student registration materials for special events

  • Drafts and deploys e-communications, behind-the-scenes articles, and other content as needed

  • Creates and posts content on social media outlets (Facebook and Instagram) to support campaign objectives and customer engagement, working in consultation with School Marketing Manager and BB Social Media Manager.Assists with scheduling photo and video shoots

  • Facilitates grassroots acquisition activities including (but not limited to) mailings, blogger outreach, local school partnerships, and store collaborations


Segmentation and Analysis

  • Pulls segmented customer lists for targeted communications from Tessitura and MindBody databases
  • Maintains student accounts and updates records in databases in order to report on marketing campaign effectiveness
  • Reports on campaign results to internal Management team and external media partners in consultation with Student Services Department
    • Briefs team on campaign goals, key events and activities
    • Communicates regularly on progress against goals
  • Incorporates data-driven analysis into campaign strategies and tactics

Qualifications:

The successful candidate will possess excellent communication skills, both written and verbal and across media channels and possess exceptional customer service skills. He/she must be able to manage multiple priorities, while maintaining a positive, caring attitude and professional demeanor and must enjoy working with students and parents in an educational environment. He/She is a self-starter who is able to work both independently and as part of a team. She/he must have a strong interest in learning best practices in marketing campaign development with knowledge of ecommerce, social media and direct mail marketing channels.


  • Bachelor’s degree in marketing, communications, journalism, arts management, education or related field, plus two years of professional work experience.

  • Ability to manage multiple priorities with excellent attention to detail and work well in a fast-paced environment

  • Highly analytical – can demonstrate proficiency in executing data-driven decisions and tracking the performance of marketing campaigns and initiatives

  • Strong customer service and communication skills

  • Familiarity with communicating and interacting with people with disabilities

  • Basic accounting and finance skills

  • Strong attention to detail and problem-solving skills

  • Flexibility, positive attitude, and good work ethic

  • Enthusiastic about arts/dance education and sensitivity and caring attitude toward children

  • Ability to travel to other studio locations as needed

  • Excellent computer/technology skills - Microsoft Office, Wordfly or large-scale email delivery system, Tessitura, and CMS’s a plus; and strong understanding of digital media and IT
