Office Manager

Description:
The Office Manager for Coro Allegro works closely with the Executive Director and in consultation with the Board of Directors and Artistic Director. The position is a very important one in a small non-profit chorus, taking care of Box Office Management, Bookkeeping, and Office Management.

Box Office Management

  • Act as the primary Ticket Manager, fulfilling orders, assisting patrons (email & phone), liaise with chorus member regarding consignments (occasional attendance at rehearsals), manage internal and external systems
  • Take an active role in concert production (remaining concerts this season on March 24, June 2)


Deposits, Bookkeeping, and Database

  • Make bank deposits and prepare deposit reports
  • Record bank deposits and EFT deposits in QuickBooks (including Patron Manager, Square, Benevity, etc.)
  • Accumulate receipts, write checks in QuickBooks
  • Reconcile all deposits and expenses on a monthly basis in consultation with the Treasurer
  • Assist the Database Managers and Executive Director with the cultivation of our patron database (currently Patron Manager)


Office Management

  • Manage files shared between all staff
  • Assist in Development efforts (mailings, thank you letters)
  • Review and produce donor listings for concert programs
  • Organize office archival materials
  • Prepare occasional written reports
  • Other clerical duties as determined by Executive Director, Artistic Director, Board officers, committee chairs, and any other staff


Other

  • Act as primary Program Book Ads representative
  • Lend expertise to any committee relating to the Office Manager’s skills
  • Substitute in place of ED at Board Meetings, when necessary (infrequent)
  • Attend Board retreats (January 26, 2019, June 29, 2019)
Qualifications:
  • Detail-oriented, organized, efficient work ethic, excellent communication skills, and the ability to multitask.?
  • Competence in MS Office?
  • Experience in QuickBooks strongly preferred (training can be provided)
  • Experience in Patron Manager software a plus, not a requirement (training can be provided)??

This position averages 10 hours a week, paid at $15/hour. Must be able to work regular hours (typically 2-3 days a week, in consultation with Executive Director) including occasional Sunday evenings (chorus rehearsals).
