Art Resource Collaborative for Kids (ARCK) is a 501(c)(3) nonprofit that offers arts integration programming to K-8 students in Boston Public Schools. ARCK uses art as a vehicle to enhance the academic experience of our students while focusing on developing cultural diversity, identity, civic engagement, social impact, and leadership skills. The Associate Director is:


  • Self-starter with a positive attitude, who functions well in a fast-paced team-oriented environment and sets weekly short and long-term priorities

Essential Functions:

  • Coordinate executive communications, including taking calls, responding to emails, and assisting with correspondence of the Executive Director

  • Prepare internal and external organizational documents for team members and donors

  • Schedule meetings and appointments and manage calendar

  • Assist with the arrangement of events such as fund-raising events, staff and supporters appreciation events

  • Maintain an organized filing system of paper and electronic documents Stewardship, reports creation, and data analysis in Salesforce

  • Assist with and oversee timeline and event logistics, providing the highest level of service and attention to detail throughout.

  • Work with Executive Director on stewardship and sponsorship plans to strategically develop and execute two possible events.

  • With guidance from the Executive Director, communicate with donors, sponsors, and other supporters to convey ARCK’s mission and impact via avenues such as email newsletters, annual reports, corporate sponsorship brochures, and other marketing collateral.

  • Coordinate logistics of annual fundraising public community event and gala in October, as well as other special events, through tasks that include developing planning timelines and tracking/reaching out to guests, vendors, and volunteers.

  • Research funding opportunities, develop budgets, manage grants, submit small grants application, and organize timelines.

  • Assist with recruitment efforts including interviewing, scheduling, payroll, following up, and updating postings on job search websites and purchase materials and supplies.

Qualifications:
  • Minimum of 3+ years of experience as an Executive Assistant reporting directly to senior management.

  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.

  • Proficiency in collaboration and delegation of duties.

  • Uphold a strict level of confidentiality.

  • Strong written and verbal communication skills.

  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.

  • Develop and sustain a level of professionalism among staff and clientele.

  • Exceptional interpersonal skills and passion for arts education.
