Tanglewood Facilities Manager

Description:

Manage all aspects of new construction projects, facilities maintenance, asset preservation, public safety, security, day-to-day and event operations at Tanglewood and other BSO Berkshire-based properties. Forecast, justify and manage Tanglewood facilities capital and operating budgets. Manage full-time, part-time and seasonal facilities staff in maintenance, logistical, traffic, public safety, security, parking and other facilities and event operations. Develop and manage effective risk mitigation, workplace safety and code compliance programs. Maintain collaborative working relationships with BSO staff in the coordination of activities to establish and promote an exceptional Tanglewood operating culture.Serve as assistant BSO liaison to the Berkshires on Tanglewood facilities matters. Manage all contracted services. Perform project management services for construction projects as assigned. Perform other duties as directed.

Responsibilities:

Working with and under the direction of the Director of Tanglewood Facilities:

· Manage all aspects of facilities maintenance and asset preservation operations at Tanglewood and all BSO Berkshire-based properties. Manage the ongoing delivery of core facilities services and efficient utility and energy management. Responsible for the direction of all trades and in the completion of all carpentry, painting, roofing, mechanical, electrical, plumbing, infrastructure and other facilities work pursuant to all applicable codes and regulations. Coordinate and manage annual building inspections and permitting, ensure code compliance and monitor critical systems to ensure reliable and efficient operation. Maintain campus buildings and gates multi-layered security systems. (30%)

· Manage and document capital projects, work with design professionals, internal constituencies, contractors, vendors, authorities having jurisdiction and others to ensure that work is completed on schedule and within budget and in accordance with project drawings, plans, specifications, contracts and other construction documents. Perform project management responsibilities for construction projects as assigned. (20%)

· Using Workday/Adaptive Insights software and other programs and following a structured zero-based approach, forecast, justify and manage the Tanglewood capital and operating budgets, adjust forecasts to reflect actual expenses and work within approved amounts and programs. Prepare and submit capital project requests for all budgeted work. Review and approve (to the limits provided) invoices and requisitions for all designated and related financial responsibilities and maintain up to date records reflecting the status of facilities maintenance and project costs. Develop and provide monthly line item expense updates to the Director of Tanglewood Facilities to ensure effective cost and budget management in compliance with BSO policies and procedures. (15%)

· Manage all aspects of facilities event operations including public safety, security, traffic, parking, pedestrian and crowd management and emergency services during the Tanglewood season. Assist Director of Tanglewood Facilities in developing full-season service provider schedules. Responsibility to act as BSO Incident Commander during crisis situations as directed. (15%)

· Acting autonomously and using independent decision-making, recruit, interview, hire, train and manage full-time, part-time seasonal facilities staff. Manage direct reports throughout the year. Coordinate internal resources to facilitate staff moves between Boston and Tanglewood at the beginning and end of each festival season and throughout the year. Maintain collaborative working relationships with BSO staff in the coordination of activities to establish and promote an exceptional Tanglewood operating culture. (10%)

· Manage the Tanglewood campus and workplace safety programs and oversee outside contractor work to ensure compliance with all applicable codes and directives of authorities having jurisdiction including, but not limited to, local, state and federal entities. Identify code deficiencies and develop plans and budgets for remedial work throughout campus buildings and grounds (5%).

· Manage risk mitigation programs and all personal injury and property damage insurance claims from initial filing through resolution. Engage with BSO insurance agent, adjusters, internal constituencies and others to ensure effective claims processing. (2.5%)

· Serve as the assistant BSO liaison to the Berkshires on Tanglewood facilities matters. Maintain effective communications and productive relationships with local officials, emergency service providers, educational administrators, business leaders and others in connection with Tanglewood facility operations and events. Coordinate off-season Tanglewood activity with local school officials, race directors and promoters for shoulder season events on campus. Develop draft contracts and staffing schedules for each event. (2.5%)

· Perform other duties as directed.

Qualifications:

: College degree or post-secondary education withadvanced professional developmentcredits in the construction industry and extensive practical knowledge and experience in facilities management with complex operating, events and capital project budgets. Facilities leadership experience in the performing arts, entertainment or educational industry is a plus. Extensive knowledge of building systems, including electrical, mechanical, plumbing, drainage, water, sewer, network, security and other systems. Ability to read architectural and engineering plans and strong code-based knowledge. Project management experience. Experience in managing facilities operations or a minimum of 8 years of supervisory or business ownership experience with disciplined budget oversight and accountability. Demonstrated experience with HZMAT, OSHA, Digital Building Controls, LEED building practices, sustainability and work order systems. Ability to effectively solve problems, work under pressure and manage multiple projects. Experience working with external constituencies, including public officials, authorities having jurisdiction, emergency service providers, project professionals and others. Familiarity with Berkshire communities. Strong written and oral communication and delegation skills. Proficient in the full suite of Microsoft Office applications, including Word, Excel, PowerPoint. AutoCAD knowledge is a plus. Ability and willingness to be on-call 24 hours a day, 365 days a year.

About this Organization:
The Boston Symphony Orchestra, Inc., was founded in 1881 and is comprised of major sub-organizations including Boston Symphony Orchestra, Tanglewood Music Center, Days in the Arts, Tanglewood Festival Chorus, the Boston Pops, Esplanade Pops, and the Chamber Players.

The Boston Symphony Orchestra performs in historic Symphony Hall from October through May under the direction of Maestro Andris Nelsons. The Boston Pops Orchestra, under conductor Keith Lockhart, performs in Symphony Hall during May and June in addition to, annual series Holiday Pops concerts in December. In July and August the orchestra performs at Tanglewood, its summer home in the magnificent Berkshires of western Massachusetts. The administrative offices of the BSO employ approximately 175 people.
