Ensembles Manager

Description:

The part-time Cape Conservatory Ensembles Manager is responsible for general administrative support to the Youth Chorale Director and the Youth Orchestra Director, ensuring effective production of all youth chorale and youth orchestra events, including but not limited to rehearsals, concerts and special events. Additionally, the Ensembles Manager will maintain member contact information, obtain and distribute music to members and coordinate all communication with members.

· Flexible schedule – must be present at all Monday/Tuesday evening rehearsals and all special run-out concerts and events; some weekends will be required

Primary Duties

Rehearsal and Concert Production

· In conjunction with custodial and Falmouth/Barnstable admin staff - Facilitate/oversee chorale and orchestra setup for weekly rehearsals, including maintaining and submitting room setup information to staff and working with conductors on room set up for sectional rehearsals.

· With campus registrar/manager schedule auditions, coordinating appointments with conductors. Facilitate setup/reservation of rooms for auditions. With registrar, create schedule and place students in audition slots.

· Assist in planning for concerts and special events by compiling activity lists and assigning tasks to parents.

· In conjunction with Business Operations Manager and Executive Director - Contact concert venues to determine equipment needs.

· Make arrangements to obtain and transport any required items to concert venue.

· Business Operations Manager will contract venues and facilitate payment, insurance requirements, etc.

Artistic

· Communicate with conductors regarding music needs and fulfill any requests for orders, copying, etc.

· Create and manage music copies, including extra parts; make backup copies available at rehearsals

· Create and maintain binders/choral folders

· Maintain an archive of music

· Facilitate creation and distribution of practice recordings for chorus members.

Membership & Attendance

· Manage membership activities including but not limited to distribution of membership materials, maintenance of student files and ensuring all students are properly registered.

· Take attendance at each rehearsal; work with registrars to contact missing participants

· Follow up on student and parent requests/inquiries/emails in a timely manner. Consult with conductors on problem resolution.

· With campus registrar/manager, communicate important information to students and parents via email, phone and regularly scheduled newsletters.

· Help promote positive relations between young musicians, parents, and the ensemble programs.

· Generate weekly email newsletter to students and parents; additional mass email generation as needed.

· With campus registrar/manager maintain program website (via google, facebook group, e.g.)

· Accurately track and report student attendance

· In conjunction with registrar - maintain an accurate list of member email addresses.

Administrative

· Coordinate parent volunteer activities related to rehearsals and concerts.

· Organize and communicate with Parent’s Committee.

· Compile and distribute notes from parent meetings with conductors and Executive Director.

· Proofread and edit concert programs working with the Marketing Department.

· Work with the Marketing Department on publicity materials.

· Record and organize all pertinent student information from auditions.

· Maintain the Youth Chorale and Youth Orchestra calendars and coordinate all dates with Conservatory staff.


Hours

Hours: (West Barnstable) Monday evenings 4:00pm-8:00pm

(Falmouth) Tuesday evenings 4:00 – 5:30 pm

Mid-week – approximately 4hrs administrative/email

Attend all weekend dress rehearsals, concerts and special events. Conservatory Staff may assist in covering some rehearsals/pizza parties.
