Administrative Assistant, Preparatory School

The Preparatory Administrative Assistant provides administrative, logistical and operational support to the New England Conservatory Preparatory School.

Essential Functions:

· Coordinate the NEC Prep room schedule assignments for all private lessons, classes, and rehearsals. In consultation with the Prep team, handle special room requests as well as scheduling and locations for larger annual events and weekly rehearsals. Collaborate with NEC staff in Concert Halls and the Provost’s Office to resolve any room scheduling issues, particularly for weekday activities.

· Provide support for the NEC Prep large ensemble auditions process, including the audition schedules, preparation of proctor and adjudicator materials.

· Coordinate Prep student and faculty recitals including scheduling, production details, and program creation and printing.

· Update and maintain the Prep online presence including the website and online calendar events.

· Assist with the design, editing, production, and distribution of print and online Prep School materials.

· Work with the Prep Registrar, learn the basics of the registration system, and assist with any registration and student payment tasks, as assigned.

· Coordinate the creation and distribution of student and faculty IDs and keys.

· Work independently and with team on special and ongoing projects.


· Availability to work a Tuesday-Saturday schedule during the academic year and a Monday-Friday Schedule from June-August; attendance at some evening and weekend concerts is required.

· Customer Service Oriented; Strong interpersonal skills and a high attention to detail.

· Music background preferred.

· Ability to execute complex logistics and react to and resolve sensitive situations.

· Capacity to manage priorities and workflow in a fast paced environment while maintaining an acute attention to detail.

· Physical ability to setup and move equipment required.

· Excellent verbal and written communication, interpersonal and organizational skills, including strong problem solving skills.

· Strong computer skills including knowledge of Microsoft Office Suite and Outlook e-mail.

· Bachelor’s or Associate’s degree preferred.
