Finance & Operations Coordinator

Description:

GrubStreet is the leading literary arts center in the country. We are a hardworking and creative bunch, and pride ourselves on a warm and supportive work environment. GrubStreet seeks a full-time Finance & Operations Coordinator to manage the regular operations of GrubStreet’s headquarters, including financial support, office management, intern program management, and customer service.


Our ideal candidate doesn't have to be a finance whiz (yet!) but is someone who has both a passion for GrubStreet’s mission and is eager to learn the ins and outs of nonprofit operations. We want someone who is highly organized, has laser-sharp attention to detail, and maybe even finds themselves building spreadsheets for fun to organize their reading lists or vacation plans. This person should thrive on solving operational problems, mentoring interns, supporting our staff, and helping students access all Grub has to offer. We encourage POC, LGBTQ, people with disabilities, and other communities historically underrepresented in arts administration spaces to apply.


OFFICE MANAGEMENT

· Coordinates building management including maintenance service, security needs and building access

· Manages office space calendar including meeting scheduling, classes, and other related space needs

· Tracks inventory, maintains office equipment, and orders office supplies

· Maintain daily operations of the office with intern assistance


HR SUPPORT

· Assists in intern interviewing, hiring, scheduling, training, and managing daily intern workflow

· Provides ongoing coaching and professional development feedback for interns

· Manages onboarding paperwork for new instructors

· Coordinates staff events and special occasions

· Supports in the development of best practices and staff protocols


FINANCIAL SUPPORT

· Responsible for accounts payable and accounts receivable support using Quickbooks

· Manages finance email account at GrubStreet

· Coordinates monthly credit card reconciliation

· Makes bank deposits

· Other financial support, as needed


IT SUPPORT

· Troubleshoots and maintains phones/internet

· Troubleshoots IT and equipment issues, and coordinates with third-party vendors if necessary


CUSTOMER SERVICE

· Responsible for supporting all front desk duties including answering phones, assisting students, handling instructor needs, and processing registrations

· Manages the info email account at GrubStreet, ensuring that all inquiries receive prompt and helpful responses



Qualifications:

Qualifications:

· Enthusiasm for GrubStreet’s mission and an alacritous approach to the work

· Customer service skills

· Strong data entry skills

· High level of accuracy and focus on detail

· Strong organizational and multi-tasking skills

· Solid interpersonal and communication skills – both oral and written

· Skilled in Microsoft Office (Word and Excel)

· Willingness to learn and work well within a team environment
