Management Division Assistant


Position Summary:

Assist in house manager with the day to day administration and overview of our clients’ careers. Work directly with artists, musicians, labels, publicists, promoters, and tour managers. Share in interoffice duties with other administrative staff to maintain office efficiency with a focus on building stronger relationships with all clients.

Duties and Responsibilities:

  • Assist management in building and maintaining strong relationships with Artists, their “teams” and Promoters/Presenters
  • Oversee tour logistics and facilitate communications between all team members of Artists' tours (label, publicists, in-house marketing, etc.)
  • Managing Artist materials: bios, promotional materials, program notes, riders, social media
  • Create and Manage Tour Budgets and Expenses
  • Liaise directly with local production staff
  • Create and Manage Tour Itineraries
  • Manage and update several calendars
  • Assist with research and tour logistic modeling
  • Input performance and recording proposals
  • Oversee the process of local tax compliance and visa/immigration requirements
  • Oversee artist settlements and payouts
  • Intercept and handle appropriate level phone calls and emails for manager

General Qualifications:

  • 3-5 years of music industry/event management experience, office experience and a college degree
  • Self-motivated: must take initiative and follow-through
  • Attention to detail is essential
  • Ability to manage multiple tasks in a fast-paced environment
  • Excellent organizational, interpersonal and communication skills (written and verbal)
  • Creative troubleshooting and problem-solving skills
  • Knowledge of the entertainment industry and concert production preferred
  • Creative and innovative marketing strategy knowledge a plus
  • A passion for and knowledge of music and the performing arts is fundamental

Technology Skills Required:

  • Proficiency with MS Office skills including Word, Excel, Adobe and Outlook
  • Proficiency with Google Docs, Google Sheets, Square Space
  • Strong Internet researching skills
  • Networking, Graphics (including Photoshop) & Calendar/Scheduling program knowledge is a plus
  • Must possess the capacity and willingness to learn new information systems
